3. Quotations and Orders

3.1 Quotations

All quotations are estimates based on the information provided and are valid for 30 days unless otherwise stated. Final costs may vary based on actual project requirements.

3.2 Order Acceptance

A binding contract is formed when we accept your order in writing. We reserve the right to decline any project that falls outside our expertise or capacity.

3.3 Project Specifications

You must provide clear instructions, source materials, and any relevant information necessary for project completion. Changes to project specifications may result in additional charges.

4. Pricing and Payment

4.1 Pricing

Prices are quoted in British Pounds (GBP) and are exclusive of VAT unless otherwise stated. Pricing is based on factors including:

• Source and target languages
• Document complexity and specialization
• Project timeline and urgency
• Volume and word count
• Additional services required

4.2 Payment Terms

Payment terms are as follows:

• Projects under £500: Payment in full before project commencement
• Projects £500-£2000: 50% deposit required, balance due upon completion
• Projects over £2000: Payment schedule to be agreed upon in writing
• Rush orders: Full payment required in advance

4.3 Late Payment

Late payment charges of 1.5% per month may apply to overdue accounts. We reserve the right to suspend services for accounts in arrears.

5. Delivery and Timelines

5.1 Delivery Dates

Delivery dates are estimates based on our current workload and project complexity. While we strive to meet all deadlines, delivery dates are not guaranteed unless explicitly agreed in writing.

5.2 Rush Orders

Rush orders may be accommodated subject to availability and will incur additional charges. Rush order pricing typically ranges from 25% to 100% above standard rates.

5.3 Client Delays

Delays caused by late provision of materials, unclear instructions, or client unavailability may affect delivery timelines and may incur additional charges.

6. Quality Assurance

6.1 Quality Standards

We maintain high quality standards through:

• Qualified and experienced translators
• Multi-stage review processes
• Specialized terminology management
• Quality control procedures

6.2 Revisions

We offer reasonable revisions at no additional charge when:

• The translation contains errors
• The translation does not meet agreed specifications
• Revisions are requested within 7 days of delivery

7. Confidentiality

7.1 Confidentiality Commitment

We treat all client information and documents as strictly confidential. Our translators and staff are bound by confidentiality agreements.

7.2 Document Security

We implement appropriate security measures to protect client documents and information during processing and storage.

7.3 Document Retention

Client documents are securely stored for up to 12 months after project completion, after which they are securely disposed of unless otherwise requested.

8. Intellectual Property

You retain all rights to your source materials. You grant us a non-exclusive license to use your materials solely for the purpose of providing translation services.

8.2 Translation Rights

Upon full payment, you receive full rights to the completed translation. We retain the right to use non-confidential terminology for future reference.

9. Limitation of Liability

Our liability is limited to the value of the specific project in question. We are not liable for:

• Indirect, incidental, or consequential damages
• Loss of profits or business opportunities
• Damages resulting from client's use of the translation
• Delays beyond our reasonable control

9.2 Translation Accuracy

While we strive for accuracy, translation involves interpretation and cultural adaptation. We are not liable for interpretative decisions made in good faith.

10. Force Majeure

We are not liable for delays or failures to perform due to circumstances beyond our reasonable control, including but not limited to natural disasters, government actions, strikes, or technical failures.

11. Cancellation Policy

11.1 Client Cancellation

Projects may be cancelled with the following terms:

• Before work commences: Full refund minus 10% administration fee
• After work commences: Payment for work completed plus 25% of remaining balance
• Rush orders: No refund after work commences

11.2 Company Cancellation

We reserve the right to cancel projects due to circumstances beyond our control, with full refund of payments received.

12.1 Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.

We encourage resolution of disputes through direct communication. If this fails, disputes may be referred to mediation before pursuing legal action.
